Timesheet Calculator

Enter start and end times for each shift and your unpaid breaks. The calculator adds up the week or fortnight in hours and minutes and decimal hours, with optional overtime and pay.

Pay period

Clock time ignores daylight-saving changes. Elapsed time counts the real hours in the time zone, so a night shift when the clocks change is an hour longer or shorter.

Quick fill

Copies this shift to every weekday that's still empty.

Overtime rules

Set these to match your contract or award. Leave blank for no overtime. Daily overtime is counted first, then weekly, so no hour is counted twice.

Estimate only — not a payroll or legal calculation. Check overtime, penalty rates and breaks against your contract, award or local law.

Filling in a timesheet

Typing times

Type times however you like — 9, 0930, 9:30, 9.30am or 17:30. They tidy up when you move to the next box. Use 24:00 for a shift that ends at midnight.

Breaks

Enter unpaid breaks in minutes. For several breaks, add them with a plus: 30+15. Paid breaks don't need entering — they're part of the shift.

Split shifts

Use “Add shift” for a second shift on the same day. Each shift is checked on its own, and the day shows the combined total.

Frequently asked questions

How do I calculate hours worked?+

Subtract the start time from the end time, then take off unpaid breaks. 9:00 to 17:30 is 8 hours 30 minutes; with a 30-minute lunch that's 8:00, or 8.00 in decimal hours.

How do I convert minutes to decimal hours?+

Divide the minutes by 60. 15 minutes is 0.25, 30 is 0.5 and 45 is 0.75, so 7 hours 45 minutes is 7.75 hours. Payroll usually multiplies decimal hours by the hourly rate.

How are night shifts handled?+

If the end time is earlier than the start time, the shift is treated as ending the next day and marked “ends next day”. 22:00 to 06:00 is 8 hours. The shift counts toward the day it starts.

What about daylight-saving changes?+

By default the calculator uses clock time, so 22:00 to 06:00 is always 8 hours. Switch to “Elapsed time” and pick a time zone to count the real hours: on the night clocks go back that shift is 9 hours, and on the night they go forward it's 7.

Does it work for fortnightly pay, like in Australia?+

Yes. Choose “Fortnightly” to get 14 days with a total for each week and the fortnight, or “Custom” for any period up to 62 days. Weekly overtime is worked out separately for each week of the fortnight.

How is overtime calculated?+

You set the rules: hours per day and/or per week after which overtime starts, and the overtime rate. Daily overtime is counted first, then weekly overtime on the remaining hours, so no hour is counted twice. It's an estimate — check penalty rates and awards with your employer.

Is my timesheet stored or sent anywhere?+

Nothing is uploaded. Your timesheet is only saved — in this browser, on this device — if you tick “Save this timesheet on this device”. Untick it to delete it.
